Job Description Job Description Description: CLM Midwest is a regional commercial facility maintenance contractor with a local presence who partners with some of the nation's leading retail, convenience store, and restaurant brands. We are a long-established, self-performing company that provides install, break/fix, and emergency services. This career opportunity is available as our new and current client base has expanded this year needing additional coverage on our vendor management team. The vendor specialist is responsible for servicing and supporting the relationship between CLM internal teams and our clients. The person in this role is a key player in the partnership and solutions we provide. Daily problem solving and communication with our existing subcontractor partners and clients makes our team the "go-to" vendor for keeping their locations secured, functional, and maintained. Our subcontractor network is maintained by continually vetting new partners and establishing connections in different areas and verticals we service. Vendor Specialists also work closely with our internal account management, dispatch, and finance team to ensure we are meeting SLA deadlines and payment terms. Successful candidates must have strong people and communications skills, be organized and business conscious, and be able to work in a fast-paced commercial maintenance environment. The office's layout creates an excellent environment for collaboration and learning from experienced coworkers. This is a more entry level position where a successful dispatcher will learn more about our business and core trades and have defined paths for growth within the operations team. Primary Responsibilities · Update client portals with new information, such as quotes, notes, and expected completion dates (ie. Service Channel, Corrigo, etc) · Inbound and outbound phone calls with sub-contractors to get ETAs and quotes · Checking completed work orders for correct photos and pricing before forwarding to billing · Oversee and coordinate with internal teams to get sub-contractors on the schedule · Learn about the company's facility maintenance services and how to best support clients · Manage creation of purchase orders needed for the vendor team assigned work orders · Answer and follow up with communication from vendors while leaning on the support of your Vendor Manager for escalated issues involving long outstanding tickets, payment terms, and communication issues from a vendor or colleague · Ongoing AP reporting to the Vendor Manager for weekly meetings held in collaboration with the finance team · Research and vet new vendors and grow our subcontractor partner relationships with assistance from the Vendor Manager · Perform other administrative tasks as assigned. Requirements: · 2 year(s) of operations and/or customer service experience · Experience at a B2B or residential service company is a plus · Experience at a property manager and/or working with subs is a plus · High school or equivalent work experience · Financial literacy and general knowledge of business math and practices · Excellent verbal and written communication skills · Strong computer skills; proficient with Microsoft Office products and platforms · Thrives in a dynamic, fast-growing company; collected and conscientious
