Job Description
Duties: Assume responsibility for all aspects of the reservations process from taking a clients initial request to sending out their final travel documents. This involves quoting, booking, invoicing, checking payment has been received, requesting payment has been made and final documentation prepared, checked, and sent out All quote and / or booking requests must be acknowledged on the day of receipt regardless of whether the request is from a tour operator, travel agent, or direct client Careful consideration and thought must go into itinerary planning. This may necessitate offering two or three suggested itineraries. If this is the case the thought process behind each suggested itinerary must be clearly explained Upon receipt of a suppliers confirmation / invoice check booking to show zero errors has been loaded in Tourplan Follow up on provisional bookings and either confirm or release them prior to being chased by suppliers Check all special requests have been actioned and acknowledged by suppliers Send out deposit invoices timeously, check a deposit has been received, and, if necessary, forward to the supplier Assist the Accounts Department with any rate, invoice, and credit note queries Check all quotes and bookings as accuracy as possible Advise child and cancellation policies Check full payment has been received prior to sending out a clients Travel Document Contact your client/s at least once during their time on the ground Be the emergency contact person for your client/s whilst they are traveling Attend supplier presentations and in-house training sessions Requirements: Matric certificate Tertiary certificate in Travel & Tourism / Hospitality At least 4-5 years experience in the Inbound Travel market Senior experience in handling customer relationships and developing & promoting product and building journeys in the inbound travel industry. In depth knowledge of South Africa & Africa, knowledge of Mozambique, Mauritius and Seychelles. Personal or educational travel experience. Computer Literate (Microsoft Office: Outlook, Teams, Excel and Word). Working knowledge of TourPlan or similar booking / operating system. Excellent attention to detail. Dynamic, creative, organised and excellent communication skills. Thrives under pressure in the fast-paced environment with tight deadlines without compromising accuracy and prioritise demands. Ability to problem solve and maintaining high quality output. Highly detailed product knowledge vital for speed in presenting alternatives. Strong financial skills, self-starter with high integrity level and ethical conduct.
