Guest Communications Coordinator (Global Sporting Event) - Italian/English Speaking (Contract) Description The Guest Communications Coordinator will support and lead at times in the development, maintenance, and reporting of all data relating to guests attending The iLUKA Collective’s global events. We will have roles starting throughout 2025. These will be contract roles until March 2026. Key Responsibilities: First point of contact for guest queries and data changes, pre-event and on-site by email, phone, and face to face. Using The iLUKA Collective bespoke database (Pulse), manage data and produce regular reports for clients, service providers, and client teams. Develop and manage professional working relationships with the client, service providers, and client teams to ensure clear and open lines of communication. Communicate with all relevant parties any data changes as necessary. Production of guest correspondence, adhering to client & The iLUKA Collective guidelines. Manage guest queries in a prompt and professional manner. Manage the distribution of regular operational reports. Assist in the training of event-time staff. Adhere to General Data Protection Regulation (GDPR) and other event location Data Regulations. This is not an exhaustive list, and all team members will be expected to contribute to any other aspects of the business, as necessary. Skills, Knowledge, Expertise: Fluent in Italian and English. Excellent IT skills – advanced knowledge of Office, Word, Excel, and PowerPoint. Experience in using systems. Ability to prioritize a demanding workload. Strong time management skills with the ability to meet strict deadlines. Proactive, positive approach to all tasks and a high degree of reliability. Organized with an analytical background and an eye for detail. Attributes: High energy, comfortable working potentially long hours in a demanding but rewarding and friendly environment. Willing to roll sleeves up and get involved. Passionate about sport, hospitality, and delivery. Able to work in a calm, kind, and professional manner in a pressured environment. Ability to prioritize a demanding workload.
