Job Summary The College of Arts, Sciences, and Education seeks an Administrative Assistant Intermediate who will provide administrative support to faculty, students, and the general public. This position will report to the Associate Dean. Responsibilities Administrative Support Provide general administrative support for students, staff, and faculty on various matters via phone/email/walk in requests (e.g., registration, registration correspondence, form retrieval, first point-of-contact; phone line requests; escort campus vendors such as the shredder and water person to the different offices.); connect inquirers with appropriate campus resources. Compose correspondence and prepare requested documents and reports from data retrieved from the student, human resources, financial, and other online systems. (eg; assist with scholarship processing; tracking exit exam completion) Respond to more complex inquiries; provide answers; attach links/files; forward inquiry to appropriate office/faculty/staff. Complete, track, and submit forms in accordance with UM-Flint procedures. (eg; background check processing; building access requests) Proofread documents and reports check for correct spelling and grammar, ensure that format policies are followed, and recommend revisions. Maintain copiers and their service contracts Keep relevant procedures up to date Stay up to date on business systems, equipment, and tools Process financial transactions and requests as needed Work on special projects as needed Front Desk Support Serves as backup receptionist during others planned vacations and other leaves of absence, Provide support by communicating in person, by telephone, or e-mail to handle general inquiries and direct faculty, students, and the general public. Greet visitors; handle their inquiries/complaints and direct them to the appropriate person according to their needs. Answer telephones; give information to callers, take messages, or transfer calls to appropriate individuals Faculty & Student Support Assistance with scanning/copying/printing when on campus Responsible for class cancellation signage when on campus Mail sorting New faculty onboarding Work with faculty to process and maintain Compliance with Children on Campus policies Support maintenance of key inventory/distribution Notify staff and faculty of policy and procedural changes or newly implemented systems relevant to position Serve as support for events as needed Required Qualifications High school diploma or equivalent 2 or more years of office administrative support experience Experience with customer service Demonstrated experience in Google products including storage/retrieval systems Why Work at U-M Flint?
