Job Description

Small architectural practice based at Hillend, seeks friendly, lively individual to work half days during Scottish state school term dates in our office. No specific experience required, although we will seek to make use of any skills or abilities an applicant has. You should want to be challenged in a vibrant environment but also prepared to muck in with mundane tasks. While no knowledge of architectural practices is required, a sense of humour, an ability to work to deadlines and a knack with people are. Most of all we are looking for character: integrity, honesty, discretion and good nature. Hours and Holidays The time commitment is four hours per day (10am – 2pm), 3 days per week, for Scottish State School term dates only. This may be adjusted to suit an alternative schedule. The role has been tailored to suit a parent seeking to return to work part time, but we will consider any candidate from any background. There is flexibility for some of the hours to be done at home. Gray Macpherson Architects We are a small architectural practice that works all over Scotland. We aim to provide a first-rate service to all our clients. We are contemporary architects and specialize in historic and existing building conversions, with a range of work including private houses, offices and whisky distilleries. Purpose of Job The Office Manager is a part-time role to provide support for two Directors and the broader team. Applicants will need to be able to work on their own initiative and run the office in the Directors’ absence – previous experience of working in an office would be useful. The role of Office Manager will involve a broad range of duties. We are looking for a client-focused, organised and proactive individual who will make a valuable contribution to the success of our team. Minimum duties and responsibilities (will be tailored to suit candidate’s experience) Reception/hospitality/ client facing activities · Receiving and handling telephone calls on the general line · Meeting and greeting visitors to the office · Arranging refreshments, and stocking the kitchen · Managing incoming and outgoing mail · Arranging meetings Administrative · Inputting of invoices, bills and expenses · Maintaining a contacts database · Electronic and physical filing · Diary management · Website management · Assisting directors with HR tasks · Maintaining contracts such as software licenses, insurance, and others · Ordering office stationary. Qualifications The candidate should be educated to Highers (or equivalent) with Standard Grade (or equivalent) Maths (minimum B grade) Work experience No specific experience required, but any of the following would be helpful: · Experience of working in a fast paced office environment · Experience of working with senior colleagues · Experience of accounting packages, and Xero in particular · Experience of marketing would be an advantage Skills, interests and qualities · Desire to be part of a small team involved with a diverse range of tasks · Excellent organizational skills and attention to detail · IT skills, including MS Word, Excel, PowerPoint and Outlook would be an asset · Willingness to ‘get stuck in’ and support the formation of a successful entity · Excellent communicator with an ability to deal effectively with partners at all levels · Proactive and flexible work approach To apply, please send a copy of your current CV and a covering letter to the GMA email addresses, info and admin.
