Job Title: Events Assistant Working Hours/Arrangements: 40 hours per week (9am to 6pm, including one hour of unpaid break), Mondays to Thursdays – office based; Fridays – work from home. Job brief We are looking for an Events Assistant to join our busy Events Team to support Sales and Marketing at servers.com. The ideal candidate will be responsible for working alongside the Events Manager and Events Team Lead to help deliver events, which range from large bespoke booths at global trade shows and expos, to intimate invite-only customer events. The Events Assistant will be responsible for supporting the team with the whole event process from the planning stage, right through to execution and carrying out the post-event evaluation. Though this is a supportive role, it’s important to note that the successful candidate will need to be confident working independently and be able to manage their own workload, which will involve multiple, often simultaneous events. All our events require very thorough and precise planning, execution and evaluation stages, so attention to detail is a key personal attribute for this role. Furthermore, excellent communication skills are required as the successful candidate will be required to liaise with multiple parties both internally and externally from operational level up to C-suite. The successful candidate will be part of the growing Events Team within Sales and Marketing and will report to the Events Team Lead. However, the Events Assistant will also need to be comfortable and capable of working directly with the leadership team on a regular basis. Working hours Normal office hours in the lead up to an event, but may need to work extra hours, including evenings and weekends, closer to the event. Some travel, both in the UK and overseas, will be required to support the team attending the event. Responsibilities Liaise with team members to book travel, accommodation, entertainment and attendance for external and internal events Liaise with the other teams to help source and book venues for internal off-site events Carry out research into, communicate with and coordinate suppliers and venues to ensure timely delivery of services and materials Support with merchandise/gift research and sourcing, purchasing and managing stock Ensure the events calendar is kept up to date Ensure all tasks are kept up to date on Monday.com Ensure that all event-related documentation is kept up to date according to team processes Support the planning of multiple events simultaneously, prioritise tasks, and meet deadlines in a fast-paced environment, ensuring that deliverables are of a high quality and completed on time Minute meetings and produce post-event evaluations to inform future events Work with internal teams to ensure smooth running of events Support with internal communications around events Support stakeholder communications around events Attend events in the UK and overseas as required The above list of duties is not exhaustive. You will be expected to perform different tasks as necessitated by the Marketing Team. Requirements/skills Previous event planning and/or coordination experience Ability to meet deadlines Ability to work under pressure Attention to detail and good visual eye A flexible but organised, target-driven, proactive approach Strong communication and interpersonal skills Proven negotiation skills when looking for the best price from venues, suppliers, and contractors Problem-solving skills and diplomacy Self-motivation and enthusiasm Experience using platforms such as hotels.com, booking.com, Skyscanner, Monday.com and Slack preferable but not essential Good working knowledge of Excel Strong level of written and spoken English, with the ability to communicate effectively at all levels We welcome applicants with events experience in other industries who are keen to work in the tech industry, however knowledge of the tech industry, especially in a B2B environment would be an advantage. What we offer: Salary range: £25,000 - £35,000 per annum. Pension contribution – 5% of the salary. Private healthcare – Once probation period is passed (subject to BiK taxation).
