POSITION SUMMARY

Lead Travel Coordinator


This role serves as primary support staff to the Principal Travel Advisor and is hyper focused on servicing the needs of Coveted Journeys’ clients, organizing a growing client base, and in transforming a trip concept into a well-planned itinerary. The Lead Travel Coordinator will play an important role in the growth of Coveted Journeys through, but not limited to, implementation of project management and client database organization software. The applicant must have respect for extreme confidentiality, as this position will be privy to confidential client information. A passion for travel, a willingness to tackle diverse responsibilities, strong customer service skills, and the ability to manage multiple tasks simultaneously are crucial. Above all, this role demands keen attention to detail and rapid, effective communication with both clients and suppliers. Successful candidates should be prepared to commit to at least two years in this position to fully realize its potential. While travel is not required, it is strongly encouraged.


Primary Responsibilities:

  • Proof & Finalize Itineraries: Collaborate with the Principal Travel Advisor to create and refine trip proposals and final itineraries, ensuring each plan is meticulously crafted and delivered with a quick turnaround. Uphold a high standard of quality control by double-checking all trip details for accuracy, consistency, and personalization.
  • Communications & Logistics: Maintain professional and courteous communication at every stage of the planning process and oversee the reconfirmation of hotel accommodations, restaurant reservations, spa appointments, and other trip components, guaranteeing seamless coordination and timely updates.
  • Data Management: Proactively gather, track, and maintain unique client details—such as travel preferences, special requests, and important anniversaries—to add personalized touches to each itinerary. Ensure accurate record-keeping and extreme confidentiality by regularly auditing databases and swiftly resolving any data inconsistencies.
  • Process Improvement: Maintain internal workflow in TravelJoy, continuously monitoring trip status, financial milestones, and client communications to meet deadlines and exceed expectations. Evaluate existing workflows and introduce new strategies or tools to improve efficiency, detail orientation, and professionalism across all stages of trip planning.
  • Coverage & Support: Provide seamless support in the Principal Travel Advisor’s absence by managing urgent client requests, handling supplier communications, and resolving any time-sensitive issues. Remain flexible and prepared to assume additional responsibilities as the company evolves, consistently demonstrating strong multi-tasking skills and a commitment to client satisfaction.

  • Exceptional Communicator: Requires professional and courteous interaction with clients, supplier partners and co-workers.
  • Self‐Starter: The selected applicant will be an independent worker, while still a team player. Must be a creative, with out‐of‐the‐box thinking while still working within the realm of industry standards.
  • Organization: Requires a very organized and detail-oriented person with the ability to handle multiple projects and tasks simultaneously. Must be able to respond to requests efficiently and in a detailed manner.
  • Problem Solving: Must be able to think critically and solve unexpected issues that may be time sensitive. Requires an organized and detail-oriented person with the ability to handle multiple projects and tasks simultaneously and initiates taking on new work.
  • Tech Savvy: Must have experience in all Microsoft Office software and digital proficiency with email organization, file management, and calendar maintenance. Experience with AXUS, TravelJoy, and Sion a plus. More importantly, the ideal candidate will have a high comfort level in adopting new technology quickly and thinking creatively about how to use technology to improve business operations on an ongoing basis.

Basic Requirements:

  • Bachelor’s degree preferred, but not required
  • Excellent verbal and written communication skills, in English.
  • Must have own computer, smartphone and reliable Wi-Fi access

  • Preferred working hours of 9am – 5pm Central Time, Monday – Friday
