High School diploma or equivalent
Two (2) years of clerical or administrative job-related experience with the State of Florida

Experience running webinars
Experience managing contracts and/or grants

Duties and Responsibilities:
Coordinates all the administrative activities of the Director’s Office and the Bureau of Historic Preservation. Routes and tracks firms for internal review. Ensures all mail is opened & distributed daily, office supplies are ordered in a timely manner and maintained in neat order, and other administrative functions for the Division as requested. Responsible for administration of office equipment maintenance; ordering and receiving supplies and furniture.
Assists in creating requisitions and purchase orders in MyFloridaMarketPlace for the Director’s Office and on behalf on the Bureaus as needed. Responsible for maintaining accurate files of all requisitions, purchase orders, contracts and other financial and budget information. Assists in the Division’s property custodian duties as needed.
Acts as a Division liaison to the Department’s Division of Administrative Services. Assists in the management of Division projects and assignments by providing analysis and research, monitoring and evaluation project statis, and following up on items requiring attention.
Assists with webinars, meeting preparation, and meeting conduct. Assist in filing public meeting notices to the Florida Administrative Register.
Prepare and submit Florida Administrative Register legal announcements and other notices for Council/Committee/Division meeting. Acts as a webpage content publisher for the Division. Coordinates coverage for the Department of State front desk.
Performs other work-related duties as required.
Knowledge/Skills/Abilities:
Knowledge of office procedures and practices
Knowledge of State of Florida contract or grant management
Knowledge of records retention practice
Ability to use standard office software
