Location: Open to applicants in Oregon; options available to work at

Children's Institute offices in downtown Portland (hybrid)

Travel: Some travel to school sites in Oregon

Job Classification: Non-Exempt, 1 FTE (40 hours per week)

Salary: $56,750

Position Description

The School Based Team Assistant supports Children's Institute's school based work by providing administrative and event planning support to all team members (currently 6) as they partner with schools and districts to align the early years and early grades.

The School Based Team Assistant position will be collaborative and proactive in executing job responsibilities, outlined in more detail below. This individual will employ great attention to detail, follow-up and hospitality with an ability to manage competing priorities effectively. The School Based Team Assistant will also be a key member of the CI operations team supporting general, organization-wide projects.

The School Based Team Assistant must support the organization's mission, vision, values, and principles and be able to articulate this clearly in written materials.

Responsibilities

Key Area

* Supports each member of the school based team with managing schedules, agenda-building, ordering, creating and managing organizational systems, event planning, and external communications according to their individual needs and preferences.
* Lead logistics and hospitality of online and in-person events including venue selection, catering, guest experience, supplies, and technology support and communications.
* Collaborate and coordinate with CI team members to support management and workflow to ensure timeliness and high-quality work.
* Coordinate meetings, events, and calendaring between multiple organizations.
* Write, transcribe, edit, and record accessible notes and minutes of internal and external meetings.
* Support the fiscal management team in processing grant applications, payments, reimbursements, invoicing, and project related contracts.
* Support project team members with coordinating travel arrangements, reimbursements, and credit card receipt reconciliation.
* Act as a liaison to external stakeholders, including funders, program staff, partners, parents, and policymakers.

Other Responsibilities

* Create and edit documents, presentations, spreadsheets, and reports.
* Organize and input data into Google, Microsoft, Asana, and other technologies as needed.
* Act as tech lead on the school-based team, sharing new tools and troubleshooting with staff as needed.
* Use project management software and tools to streamline processes and support team members.
* Collaborate with Operations team to provide organization-wide support to special projects.
* Support equity initiatives within CI and as a public facing staff member.
* Confidentiality: handle sensitive information with discretion.
* Serve as a liaison with other teams at CI and provide support to special projects and collaborate across CI programs as needed.
* Engage in growth and leadership opportunities as appropriate.
* Occasional travel to conferences, program sites, and professional development opportunities.
* Perform other duties as assigned.

Preferred Skills and Experience

Any satisfactory combination of experience and education that ensures the ability of an individual to perform the duties and responsibilities of this position may substitute for the stated qualifications.

* Associate degree or certificate in project management, writing, business practices, or administration
* Minimum of two years related experience in office administration preferred.
* Excellent written and verbal communication skills with demonstrated ability to build trust and rapport with a range of key stakeholders including district administrators, researchers, teachers, families, and CI staff.
* Proactive and creative in assessing and managing multiple tasks and shifting priorities.
* Proficient with all Microsoft Office, google and zoom products and familiar with project management software (Asana preferred).
* Highly organized with exceptional attention to detail and stakeholder experience.
* Able to work independently and as a team member in a dynamic work environment, with ability to shift priorities to meet deadlines.
* Able to be adaptable, flexible, and manage change to achieve positive results.
* Able to protect and exercise discretion in handling confidential information and materials.
* Demonstrated ability to work effectively as part of a team and with diverse individuals.
