Job Summary:

Under the direction of the Administrative Manager, the Administrative Supervisor is responsible for providing office support services at the assigned sites in West Sacramento and Fairfield (must be able to travel to both sites as needed).

Essential Functions:

  1. Partners with site leadership to provide administrative support in alignment with Agency standards.
  2. Supervises, directs and develops the administrative associates assigned to the site.
  3. Communicates effectively with appropriate site personnel in a professional manner regarding assigned tasks that integrate with site processes.
  4. Leads site-based administrative team to ensure timely and accurate completion of tasks and projects as assigned.
  5. Be the SME for accounts payable to both sites.
  6. Leads site-based implementation of new or modified administrative processes to ensure alignment with regional and Agency standards.
  7. Oversees implementation and maintenance of program accounting system, systems for controlling incoming and outgoing written communications, data collection and comprehensive records management.
  8. Provides oversight and support for the following: a) Manage site needs, b) On-site technical support to all staff, c) Payroll processing, d) Manages psychiatric department needs.
  9. Administrative functions (if assigned to Administrative Office).


Minimum Required Education and Experience:

  1. High School or general education degree (GED).
  2. Four years of administrative support experience.
  3. Must be able to travel to both West Sacramento and Fairfield locations.
  4. Must have prior experience in Accounts Payable.
  5. Must have 1+ years of management/supervisory experience.


Position/Program Requirements:

  1. Must possess a valid California driver's license, personal automobile insurance and driving record that meets the standards outlined in the Agency's Personnel Policy: Motor Vehicle Operating Standards.
  2. Must be physically and mentally fit in accordance with the Agency's Personnel Policy: Physical Fitness Standards and Examinations. Must be willing to complete a Tuberculosis (TB) test and drug screening test.
  3. Must complete a personal background investigation conducted by the State of California.


Physical Requirements:

  1. Have an adequate range of body motion and mobility to work in a residential, office or outdoor environment including standing and walking (even and uneven surfaces), alternating between standing and sitting for extended periods of time, bending, kneeling, twisting, reaching balancing and occasional carrying and lifting up to 25 pounds occasionally, and up to 10 pounds frequently.
  2. Must be able to sit for prolonged periods of time in a vehicle for traveling to recreational activities, home visits, DCFS and court locations which may be up to 100 miles driving distance.
