Job Description
As an Administrative Assistant at National Bank of Canada you will provide valuable support to our team of financial professionals. As the first point of contact for our clients and visitors, you will be responsible for performing a variety of administrative tasks that contribute to the smooth day-to-day operations of our office. The successful candidate will possess excellent communication and organizational skills, along with the ability to manage multiple tasks simultaneously.

This position is bonus eligible.

Responsibilities
- Manage the front desk, including entering all incoming visitors and vendors into building security system, greeting visitors, answering phones, and responding to emails.
- Process incoming and outgoing mail and packages, includes but not limited to processing check returns, forwarding documents to Head Office.
- Responsible for the coordination and logistics of both internal and external meetings, including but limited to, catering, booking conference rooms, printing and binding of materials.
- Provide general office support, such as ordering office supplies including but not limited to maintaining office supplies, ordering office groceries, ordering weekly catering orders.
- Organize all internal and external office events.
- Coordinate domestic and international travel for office executives.
- Prepare and process paperwork, including reports, memos, invoices, and expense reports. (experience using Concur and Ariba/My Purchases is a plus).
- Assist in the revision and updating of internal documents, ensuring all documents are up to date and accurate.
Requirements
- Proven experience as an administrative assistant or similar role.
- Proficient in Outlook and Microsoft Office (Word, Excel, PowerPoint).
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Ability to work independently and prioritize tasks effectively.
- Ability to maintain confidentiality and handle sensitive information.
