We have an opening for an Administrative Assistant/Front Desk Receptionist.
Position Summary
We are looking for a dedicated and detail-oriented Administrative Assistant to join our team. In this role, you will serve as the first point of contact for both staff and visitors, helping to create a welcoming and professional environment. You will support the overall functioning of the office by handling a variety of administrative tasks, managing office supplies, and ensuring the office runs smoothly. This role requires excellent communication skills, a strong customer service focus, and the ability to manage multiple tasks efficiently
What You Will Do
* Provide Customer Service: Greet visitors, determine the purpose of their visit, and direct them to the appropriate location. Answer phones, take messages, or transfer calls to the relevant team members
* Office Coordination: Manage office supplies, equipment, and inventory. Order new materials when necessary and ensure all office equipment is functioning properly
* Meeting & Event Support: Schedule and coordinate meetings and events, including setting up conference rooms, arranging catering or lunch orders, and managing the shared calendar
* Mail & Communication: Sort and distribute mail, prepare shipments, and assist with various communication tasks, including email and phone correspondence
* Office Maintenance: Keep the office environment clean and organized, including common areas, kitchen, and supply rooms. Coordinate regular office cleaning and maintenance tasks
* Travel & Onboarding Support: Assist with employee onboarding, new hire orientation, and unique travel arrangements as needed
* Administrative Assistance: Provide general administrative support, such as managing files, preparing documents, assisting with financial processing, and handling reprographic tasks like printing and binding
Required Qualifications
* High School diploma or equivalent
* Strong communication skills, both verbal and written, with the ability to interact professionally with staff, visitors, and external vendors
* Ability to multitask and manage various responsibilities in a fast-paced environment
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
* Strong attention to detail and organizational skills
* Ability to work independently, as well as collaboratively as part of a team
* Customer service experience, with the ability to anticipate needs and provide a positive experience
Preferred Qualifications
* Previous experience in an administrative or office support role
* Knowledge of office procedures and systems (filing, scheduling, office equipment)
* Experience with vendor management and coordinating services
* Familiarity with office technologies and an ability to quickly learn new systems as needed
