What We Want

The Administrative Coordinator I will provide comprehensive administrative support for the First Year Program in Chemistry. The selected candidate will be responsible for coordinating exam logistics, managing lab course operations, supervising student workers, and assisting with TA and IA assignments. The Administrative Coordinator will also be involved in maintaining records, ensuring compliance with policies, and suggesting improvements to processes. Additionally, the selected candidate will attend professional development activities to enhance skills and may take on additional duties as needed.

Required Education and Experience:

* Bachelor's degree or equivalent combination of education and experience


* Two years of experience in office administration



Required Knowledge, Skills, and Abilities:

* Interpersonal and communication skills


* Planning and organization skills



Preferred Qualifications:

* Four years of related experience


* Working knowledge of LMS (Canvas, Blackboard, etc.), TAMUDirect, Qualtrics, Compass, ASTRA, ARGOS, and strong computing /software background



Responsibilities:

* Administrative Support for the First Year Program in Chemistry: Provides organizational planning and problem-solving skills to the program coordinator in day-to-day operations of the First Year Program in Chemistry (FYP). Serves as an information resource on administrative operational methods and processes. Monitors compliance with University policies and procedures. Coordinates maintenance of files and records. Makes recommendations for process improvements, administrative changes, or new initiatives. Coordinates all exam printing procedures including printing, seating chart generation, proctor assignments, and make-up exams, for as many as 7,500 students in a semester. Corresponds with Disability Services regarding the arrangement of exams for students requiring accommodations. Coordinates with FYP teaching faculty on making evening room reservation requests. Responds to phone inquiries and gets answers to resolution of problems in the lecture rooms in ILCB. Coordinates office hours schedules for spaces in the ILSQ building.


* Management of the Laboratory Course Reception Desk: Manages the operations and student worker staff associated with a service desk that supports up to 10,000 students a semester. Coordinates the hiring, training, and supervision of office student workers. Review laboratory make-up assignment requests and make recommendations to the program coordinator. Input and track laboratory attendance scores in Canvas. Prepare rosters and other documentation for the weekly laboratory folders. Make recommendations for improvements in make-up lab procedures or weekly folder preparation procedures.


* Teaching Assistant Support: Assists with assignment of instructors' assistants (IA's) and teaching assistants (TA's) and the grader pool. Coordinates the maintenance of office contact information each semester. Coordinates proctoring and grading assignments. Provides assistance in the analysis and generation of TA evaluation reports.


* Professional Development: Attends meetings, courses, seminars, and training sessions, as needed to maintain certifications or to learn new ways of performing current job duties to increase productivity.
