Job Description

Job Summary
The University of North Georgia is currently accepting applications for an Administrative Assistant I, Purchasing on the Dahlonega campus. Provides front desk coverage, answering phones, filing and support to all in the Purchasing Office. This position has frequent interaction with the public and with university personnel. This person also does all purchasing for the department and assists in training with all Peoplesoft new users. In addition to background checks for all cardholders, O.C.G.A. § 50¿5¿83 requires a credit check on all employees issued a purchasing card. Additionally, credit checks must be run at the time of Pcard renewal.
Responsibilities
* Coordinates day-to-day operations of Purchasing to include distribution of requisitions, distribution of PO's, distributes all Software Request to each Buyer and closes each task once completed.
* Creates and maintains Purchasing Department electronic files for Purchase Orders, updates ServiceNow with new Suppliers to include all eVerify, Certificate of Insurance (COI) for each supplier.
* Pulls report for Copiers in ServiceNow for upcoming lease terminations (160+ copiers on hand). Coordinates with end user and supplier for new copier leases and follows up on all deliveries, installs and pickups. Ensure that all beginning and ending lease dates are correct in the system. Additionally, will do Purchase Order Change Orders for adding to current PO's only, as requested.
* Updates ServiceNow copier and vendor files to include adding PO's, updating contract dates, etc' Adds and updates bids to include current contracts for multiple year renewals (a DOAS & BOR requirement).
* Maintains list of 'paper' check request and Verifies all check requests are signed by authorized personnel.
* Sends all docusign requests from Contract Manager, Director, etc. as requested.
* Has responsibility for managing and placing orders utilizing the P-Card for the department and other departments throughout the University as needed.
* Prepares agenda for meetings, schedules meetings, records and distributes minutes of meetings.
* Oversees student worker, Screens and directs callers and visitors.
* Maintains Official Signature Authorization Form site.
* Other duties as assigned.
Knowledge, Skills, & Abilities
* Requires basic knowledge of Microsoft Office products including Excel spreadsheets and PowerPoint.
* Knowledge of PeopleSoft Financials or another relational database is a plus.
* Must have the ability to work with diverse populations and maintain an excellent of customer service.
Required Qualifications
* High School Graduate or GED required.
* Four (4) years of clerical or administrative experience required.
