Job Description

We are seeking a diligent and detail-oriented Administrative Assistant 1 to provide essential clerical and administrative support to our Federal Occupational Health (FOH) staff. The ideal candidate will be proficient in Microsoft Office applications, possess strong communication skills, and have experience working in a medical or office management setting. This role is vital to ensuring the smooth operation of our office and the efficient delivery of services.

Specific Tasks:
  • Provide comprehensive administrative and clerical support to FOH staff, including both Federal employees and Contractor staff.
  • Maintain and organize office files, ensuring that all information is easily accessible and readily available for retrieval.
  • Prepare and type various documents, including memorandums, letters, reports, and other materials as requested, using Microsoft Office applications.
  • Coordinate and implement a broad range of office duties critical to the operation of FOH. These tasks may include:
    • Secretarial, receptionist, and general clerical responsibilities.
    • Management and operation of office equipment.
    • Administrative support, including the planning and coordination of conferences and meetings.
    • Providing travel support for staff members.
    • Information and data processing, including generating reports.
    • Managing mail distribution, photocopying, faxing, and records management.
    • Overseeing telecommunications, facility usage, space issues, and supply distribution.
    • Assisting in the preparation and analysis of office operations.

Additional Responsibilities:
  • Ensure that all tasks are completed efficiently and in accordance with FOH policies and procedures.
  • Serve as a key point of contact for internal and external communications, facilitating smooth and effective operations within the office.
  • Support the team in managing any other administrative duties as required to ensure the successful delivery of FOH services.

Qualifications
  • High school diploma or equivalent.
  • Excellent oral and written communication skills.
  • Proven ability to respond promptly to a wide range of customer requests and resolve issues in a timely manner.
  • Proficiency in Microsoft Excel, Word, and PowerPoint.
  • At least one year of experience working in the medical field and in office management, particularly front desk operations.

Compensation - Min: $55,000/ Max: $70,000

This position is in the proposal stage, we are waiting to be awarded the project.

Pay range is based on several factors and may vary in addition to a full range of medical, financial, and/or other benefits. The final salary and offer will be determined by the applicant's background, experience, skills, internal equity, and alignment with geographical market data.
