If you have an appreciation for the arts and education, Academy of Art University invites you to apply for our Administrative Assistant, Schools of Entertainment position working ONSITE in downtown San Francisco. This is a 40 hour per week for 34 weeks per year position. If you are someone that has an interest in the film industry this role will provide, you with the unique opportunity to work directly with our team of Faculty & Staff in the School of Motion Picture and Television. This is a fast-paced position requiring a high level of energy, the ability to multi-task, flexibility to pivot to several different jobs at once and be able to communicate effectively.

- Set up and maintain Director and Faculty calendars and appointments.
- Ensure the organization of office, maintain files and supplies.
- Coordinate schedule of College Work Study students and delegate duties as needed.
- Coordinate with other departments as needed, such as Student Services and Curriculum.
- Maintain requisition files and purchase order log.
- Approve student flyers for posting.
- Serve as liaison between faculty and administration.
- Track grade and attendance rosters and follow up on late rosters; Process and schedule all incoming forms and requests
- Help to update faculty of department announcements, policies, meetings, grades, etc.
- Assist with expense reports for approved directors and faculty.
- Facilitate requests for class make ups, panelist reviews and departmental clubs.
- Process Independent Contractor forms for Guest Speakers, Student Actors, and faculty, as needed.
- Answer questions on topics such as grades, attendance, instructors, courses, and curriculum.
- Assist in collecting and returning projects from instructors and students.
- Promote the Academy and positive student morale.
- Assist with facility requests for student auditions, shoots and rehearsals.
- Assist with special events as needed.
Qualifications:
- Excellent organizational, and time management skills
- Experience with Graphic Design preferred
- Experience with a variety of software such as, Microsoft Office, Adobe, Canva is preferred
- High attention to detail with the ability to prioritize multiple tasks
