Job Description
PURPOSE OF POSITION
To support the daily front desk operations of Specialty and continuously work with all Woodhull staff members and its external affiliates to provide outstanding customer service.
AREAS OF RESPONSIBILITIES
Specialty Practice
SUMMARY OF DUTIES AND RESPONSIBILITIES
1. Schedule and register patients for appointments within the Department.
2. Greet patients presenting to the Practice, check the Department Appointment Report (DAR) for patient name and verify patient (DOB) ID.
3. Ensure all the patients are checked-in and checked-out in the EPIC system and complete any missing items such as demographic information, insurance information, PCP information, etc.
4. Verify insurance coverage and collect any co-payment or balance payment if applicable.
5. Refer non-insured, new and out-of-network patients to Financial Counselor and direct
patients to cashier in order to make cash payments as indicated.
6. Obtain all electronic consents and signatures in their preferred language.
7. Verify that MyChart status is active. If not, assist and enroll patient in my chart.
8. Schedule or convert appointments (i.e. tele-visit, video communication) and follow ups as directed by the provider.
9. Review and complete assigned work queues.
10. Maintain daily contact with nursing and other professional personnel within assigned Practice setting to ensure an accurate and updated Daily Appointment Report (DAR/EPIC) and supplies.
11. Ensure end of the day No-show is completed and documented in the EPIC system according to policy.
12. Answers telephones and takes messages for staff.
13. Makes daily reminder calls to schedule patients, reminding them to bring any new medication at their next visit, and follow NYC Health+Hospital script for safety measures.
14. Collects and prepares loose papers (including consent forms) generated by patients' visits for charting/scanning by the end of the day as needed.
15. Maintain integrity of Protect Health Information.
16. Escalate patient complaints to immediate supervisor.
17. Participate in staff meetings, trainings, projects, and performance improvement activities in the department.
18. Work harmoniously with staff to effectively coordinate registration and other clerical functions.
19. Prepare, print and distribute to all clinical staff the Staff Daily Reports (SDR) during downtime to view appointments and maintain the down-time forms in the registration area. Clerical Staff reference to the (SDR) to mark arrival, no-shows, cancel appointments and future appointments.
20. Other clerical duties as assigned by Coordinating Manager, or designee.
Minimum Qualifications
1. A high school diploma or its educational equivalent; and
2. Six (6) months of full-time satisfactory clerical experience and/or experience interacting with the public, such as processing sales; taking, processing, and delivering orders; obtaining and dispensing information; listening to and resolving customers concerns, problems, and complaints; and/or performing related customer service activities.
