As a Commercial Insurance - Administrative Assistant, you will be responsible for ensuring the smooth operation of the reception area and office. You will be the first point of contact for visitors and will handle a variety of administrative tasks to support our team. Your friendly and professional demeanor will help create a welcoming environment for clients and employees alike.
Responsibilities
+ Open reception area and office by 8:30 am each day and close reception area at the end of the day.
+ Maintain reception area and all common areas in a clean and tidy manner at all times.
+ Serve as the first point of contact for on-site visitors, including deliveries; welcome, determine nature of business, and announce to appropriate personnel.
+ Log incoming new business submissions for Underwriters in a timely manner.
+ Answer incoming telephone calls, determine purposes of callers, and forward calls to appropriate personnel or departments in a friendly and professional manner.
+ Provide backup support to other administrative areas, including but not limited to Loss Runs.
+ Perform other clerical duties as needed, such as filing, photocopying, collating, and printing, and making appointments for all staff or specific employees, such as executives.
+ Handle overnight deliveries and all incoming mail.
+ Maintain confidentiality in matters pertaining to management.
+ Perform other duties as assigned.
+ Manage excessive multi-tasking and operate multiple computer systems.
+ Use an intuitive approach to assist customers and internal employees.
Essential Skills
+ Experience in front desk, receptionist, mail, scanning, office supplies, outgoing mail, and phones.
+ Strong office administration skills with strong in-person skills.
+ Proficiency in processing invoices.
+ Experience in calendar management for sales professionals and C-Suite leaders.
+ Conversational Spanish speaking ability.
+ High School diploma required.
+ Previous work experience in customer service with a successful track record.
+ Excellent written and verbal communication skills.
+ Ability to work well under pressure and meet tight deadlines in a fast-paced environment.
+ Proficiency in Microsoft Suite.
+ Proactive, independent work ethic with strong problem solving and analytical skills.
+ Willingness to be flexible, learn on the job, and maintain a can-do attitude.
+ Ability to work in a dynamic environment, adapting to changing requirements and collaborating with a wide range of colleagues to quickly deliver solutions.
+ Highly organized, self-motivated, and goal-oriented.

The pay range for this position is $19.23 - $19.23
