Job Description

The CEEER Administrative Support Associate's responsibilities include making travel and meeting arrangements, preparation for events, maintaining appropriate filing systems, assisting with the logistics of Center programming and initiatives, and work collaboratively with other staff and faculty in the College of Education to solve problems in accordance with College of Education priorities, university policies, and program goals.

The CEEER Administrative Support Associate exercises independent judgment, understands the impact of their decisions on the administrators' role and commitments, and coordinates and facilitates processes and procedural compliance with internal and external organizations, working within delegated authority from the director.

Primary Function of Organizational Unit

The Center of Excellence for Educational Equity Research (CEEER) is one of the newest centers on the campus of North Carolina A&T State University and is dedicated to research, partnering, mentoring programs, and funding through grants and other innovative avenues. CEEER is looking for a responsible Administrative Support Associate to perform a variety of administrative and clerical tasks. The duties of the Administrative Support Associate include providing support to the center director, faculty, and students in the daily office needs and general administrative activities.

N.C. A&T is a public, land-grant, doctoral research institution, and has been the largest historically Black university in the country for the past decade. With an enrollment of 14,311 students in Fall 2024, the university offers 59 undergraduate degree programs, 36 master's programs, and 12 doctoral programs. Work Hours 8:00 am - 12:00 p.m. Is this position eligible for a remote or hybrid work arrangement, consistent with university and state policies. On-site (Employees are primarily in the office and/or have a critical job requirement that requires dedicated office space on-site)

Key Responsibilities and Related Competencies

Required Competency Problem Solving Duties

* Anticipates and solves problem associated with the various constituents of the Center of Excellence that could impact the Center.
* Manages key communications to ensure timely responses, and makes on the spot decisions on the appropriate action to be taken when the director is away.
* Arranges appointments and makes travel arrangements for the director, as assigned.

Required Competency Communication - Verbal/Written Duties

* Generates a variety of correspondence (e.g., memos, letters, meeting agendas, electronic transmissions, etc.) to personnel both internal and external to the Center.
* Assists in the development and finalization of reports, fliers, programs, graphic designs, brochures, and other public relations materials associated with the Center.
* Provides public contact and engagement with a diverse population of students, parents, faculty, University administrators/staff, business and community personnel, and exhibited through the position's development and delivery of written publications, oral presentations/workshops, interpersonal interactions, etc.

Required Competency Work Coordination Duties

* Makes decisions independently to assure calendar is managed for the Director and the Center.
* Performs work in a pressure paced environment to achieve deadlines and determines internal target dates to assure appropriate channels of review for quality assurance.
* Participates in the coordination, planning and implementation of visits by facilitating assignments, exercising good judgment in visit preparations, and arranging the travel/schedule itineraries and hotel accommodations.
* Prepares Center programming agendas.
* Arranges refreshments and luncheons by determining menu and venue(s).

Required Competency Budgeting Duties

* Monitors the subset of the Center accounts associated with the responsibilities of the position.
* Monitors operational budgets, financial management of state funded appropriations, and purchasing and travel documentation for the Center.
