Job Description

Are you a highly efficient Executive Assistant with exceptional organisation and communication skills? Do you have experience working with invoicing systems such as Xero or Quickbooks? Do you thrive in dynamic environments where no two days are the same? If so, we'd love to talk.


Our founder is a successful entrepreneur who runs multiple businesses and requires an assistant who is not only highly organised, extremely adaptable but also has experience of bookkeeping and invoicing.


This position is ideal for an experienced EA/PA who is comfortable wearing many hats and juggling multiple projects simultaneously, offering vital support on both professional and personal levels.


What You’ll Be Doing

You will typically connect with our founder at a specific time each day to run through the daily tasks. You will then work independently, using your initiative to complete these tasks efficiently. You will be instrumental in driving the business forward by ensuring that all meetings and appointments are on track. This is a fast-paced environment that requires the ability to work effectively under pressure.

  • Providing support on both business and personal matters, split between arranging the personal calendar, business events and ad hoc tasks and handling business emails, supplier contacts and interactions with the management team.
  • Managing the founders inbox and multiple diaries, including scheduling meetings and preparing necessary documents or presentations.
  • Organising emails and managing mail folders- assigning tags and managing priorities.
  • Managing the invoicing across two businesses, both on weekly and monthly structures
  • Liaising with external suppliers and internal departments on behalf of the Founder.
  • Arranging travel, accommodation and detailed itineraries.
  • Booking meeting rooms and setting up virtual meetings (Google Suite).
  • Attending meetings and taking minutes when required and following up with setting tasks with the wider team
  • Handling confidential information with the utmost professionalism and discretion.
  • Providing general assistance to the founder, including scheduling personal appointments and managing correspondence.

Required skills include:

  • Minimum of 3 years’ experience gained as a PA supporting senior leadership.
  • Experience with working with Xero/Quickbooks software and raising invoices.
  • Strong communication skills, able to engage confidently with all levels of the business.
  • Flexibility to adapt to the ever-changing needs of the founder.
  • Proven ability to work under pressure and meet tight deadlines.
  • Exceptional planning skills, including booking travel and hotels.
  • Strong organisational skills with a keen eye for detail.
  • Ability to work with minimal supervision with a proactive can-do attitude.
  • Commitment to maintaining confidentiality and discretion at all times.
  • Positive and helpful manner.
