Job DescriptionJob DescriptionWe are offering a long-term contract employment opportunity for an Administrative Assistant in the industry of Business Logistics, based in LEXINGTON-FAYETTE, Kentucky. As an Administrative Assistant, your role will involve managing daily business logistics needs, processing customer applications, maintaining records, and answering customer inquiries. You will be a crucial point of contact for our customers, employees, partners, and vendors.
Responsibilities:
• Serve as the first line of contact for customers, employees, partners, and vendors, ensuring their needs are met and inquiries are directed appropriately.
• Process incoming and outgoing mail and documents, ensuring accuracy and efficiency.
• Perform data entry tasks and maintain accurate customer records.
• Handle customer service responsibilities, including answering inbound calls and responding to email correspondence.
• Utilize various Microsoft Office tools such as Excel, Outlook, PowerPoint, and Word to perform administrative tasks and manage customer records.
• Prepare departmental reports as needed and undertake special projects upon request.
• Assist in the operation of the Copy Center, ensuring all requests are processed in a professional manner.
• Manage the front desk/receptionist responsibilities, including greeting visitors, maintaining a secure front entry, and assisting staff with meeting room needs.
• Accept and log mortgage payments, following appropriate cash receipt security procedures.
• Collaborate with other departments as needed for tasks and projects assigned by the Business Logistics Administrator and Facilities Administrator.• Proficiency in answering inbound calls and handling both inbound and outbound calls efficiently
• Strong customer service skills and ability to resolve customer inquiries effectively
• Ability to perform data entry tasks with high accuracy and attention to detail
• Proficient in email correspondence, ensuring timely and effective communication
• Scheduling appointments and managing calendars efficiently
• Advanced proficiency in Microsoft Office Suite including Excel, Outlook, PowerPoint, and Word
• Strong organizational skills and ability to multitask
• Excellent verbal and written communication skills
• Ability to work collaboratively in a team environment
• Strong problem-solving skills and ability to think critically
• Proactive and able to take initiative when required.
