Senior Administrative Assistant - Contract

$30 - $35/hour

Option 1 Staffing is recruiting a Senior Administrative Assistant for a nationally recognized university in Palo Alto, CA. The ideal candidate will have prior experience providing administrative support to Executives or Directors, with a focus on calendaring, event coordination, and financial reimbursement processing. We are looking for proactive, professional, adaptable, and tech-savvy individuals for this role.

Responsibilities:

• Perform complex calendaring with competing priorities, resolving calendar conflicts as needed
• Coordinating travel arrangements from flights, hotels, reservations, to transportation
• Process and monitor routine financial transactions, which may include researching and resolving discrepancies
• Coordinate events, conferences, and team meetings as needed
• Maintain office supplies and equipment; obtain vendor quotations, as needed
• Creating expense reports, complex reports, and spreadsheets
• Reviewing incoming documents

Qualifications:

• Minimum 3 years of administrative experience providing direct support
• Bachelor's degree
• Flexible and adaptable personality
• Excellent communication skills
• Strong attention to detail
• Academia experience is a plus!
