Job Description

We are seeking a full time permanentHelpdesk Coordinator to conduct administration tasks who can demonstrate strong customer skills and who has previous experience working in a similar role.

You will join usat our client site in Swindon (SN5 6PB) working Monday to Friday 8:00am to 5:00pm 40 hours a weekat anannual salary of £25,000.

The successful applicant will have free use of the onsite Gym and Barista bar, access to the onsitesubsidized restaurant, and benefit from free onsite parking.

Suitable applicantswill be able to demonstrate skills and experience in the following areas:

  • Excellent Communication Skills- Verbal and Written
  • 2 years + in a similar customer services based role
  • Experience in a similar role within the facilities management industry (desirable, but not essential)
  • Able to understand and act on both verbal and written instructions/procedures
  • Ability to work in a fast pace environment, organise, and use own inactive
  • Methodical and strong problem solving skills
  • Understands the relevance of workplace health and safety and safe systems of work.
  • Proficient with Microsoft Office (Excel, Word, SharePoint, MS Lists).

As a FM Helpdesk / Contract Support Coordinator, you will provide a professional, friendly and proactive service on the RWE contract.

You will build and develop an excellent working relationships with the client, wider facilities team and third party contractors.

this role will be part of a team responsible forscheduling work (both reactive works and planned preventative maintenance), co-ordinating work from start to finish using our CAFM system QFM, and WAP (SAGE) to issue and goods note receive purchase orders.

?In addition you will be required to complete associated administrative tasks and reporting as required to support the contract deliverables and objectives.

Responsibilities include:

  • Helpdesk call and mail box management - Answering callers and email requests or enquiries accordingly and in line with contractual arrangements.
  • Logging client requests on QFM, ensuring they are accurately logged and assigned to the correct SLA, delivery team or contractor.
  • Liaise with engineers, soft service teams and contractors to schedule work, chase updates, work records and reports to update QFM records accordingly.
  • ?Ordering of materials and equipment as required.
  • Manage, prepare and submit quotations within required SLA on behalf of the FM team.
  • Responsible for completing client and internal reports from QFM
  • Management of purchase ordering on SAGE. Raising Purchase order & completing accurate goods receipting of invoices as required.
  • Monthly reporting on statutory and mandatory compliance of PPMs
  • Assist the technical team & FMs with reviewing contractor management Obtaining and reviewing insurance documents, training certs, risk assessments and booking in attendances at site with site leads.
  • ?Liaise with the central helpdesk team based in Darlington on a regular basis
  • Complete any other helpdesk and / or administrative tasks to support our client and wider FM team, as required.
