Job Description

We are seeking a full time permanent Contract Support Coordinator to join our contract for one of our prestigious clients.

The job holder will work closely with colleagues across all teams to ensure consistency of approach, and service delivery against a strict set of service level agreements and key performance indicators for measuring success and excellence.

You will be responsible for delivery of day to day and strategic administrative duties and activities, as required to support the contract as directed by the Account Manager, Technical Manager and or regional / designated site leads (FMs) under the instruction of the Contract Support Manager.

You will join us at our client site in Swindon (SN5 6PB) working Monday to Friday 8:00am to 5:00pm 40 hours a week at a salary from £25,000 and up to 28,000 per annum.

Key Responsibilities:

  • Undertake all RWE Helpdesk activities, by scheduling jobs (both reactive works, planned preventative maintenance and compliance), ensuring effective co-ordination from start to finish using our CAFM system (QFM), including any other associated helpdesk or administrative tasks, with customer service excellence at the centre of all activities.
  • Participate in handling Helpdesk call and mail box management- Answering callers, email requests or enquiries accordingly and in line with contractual arrangements.
  • Logging client requests on the CAFM system (QFM), ensuring accuracy in the logged detail, resource assignment and SLA priority.
  • Liaise with engineers, soft service teams and contractors to schedule work, chase updates, work records and reports to update QFM records accordingly, accurately and in a timely manor.
  • Process order for materials and equipment as required.
  • Manage, prepare and submit quotations within required SLA on behalf of the FM team.
  • Assist the Contract Support Manager in collation of client and internal reports from QFM for the purpose of weekly, monthly and quarterly meetings.
  • Processing of purchase ordering on WAP. Raising Purchase order & completing accurate goods receipting of invoices as required.
  • Weekly & Monthly reporting on reactive, statutory and mandatory compliance of PPMs to the Contract Support Manager to demonstrate productivity and progression of open jobs to point of completion for the site / region assigned to you.
  • Complete any other helpdesk related tasks to support our client and wider FM team, as required.
  • Ensure all documentation stored on Anabas Client SharePoint is administrated and uploaded using agreed naming conventions, in the correctly assigned sub-folders.

You will co-ordinate and participate in all other administrative duties assigned, in order to support routine and strategic activities, as deemed required by the senior contract management team and instructed by the Contract Support Manager, without exception

Skills & Experience

To be successful in this role you will be able to demonstrate your skills and experience in the following areas:

  • Demonstratable experience working within a similar role
  • Be able to communicate professional, concise, and accurate information in written and verbal formats.
  • Able to competently use Microsoft Office package are essential / experience of using a CAFM system is desirable.
  • A willingness to challenge assumptions and proactively find new solutions working with colleagues is essential.
  • A positive work ethic and be able to act as a team player.
  • Flexibility to meet the needs of the businesses.
