Job Description

PLEASE READ: This is a 3 week contract with potential for extension It is full time in office Your new company Hays Specialist Recruitment has partnered with a real estate organization located in Ottawa, ON. We are looking to hire a receptionist to join their team on a contract basis of 3 weeks, which has the possibility of extension. This candidate will be working from their Downtown Ottawa Office on a full time basis. Key Responsibilities: Financials and Invoices: Review and resolve invoice referrals/escalations through Ventura. Code AP invoices to ensure correct cost center accounting classification. Respond to vendor inquiries regarding invoicing-related matters. Front Desk Management: Draft and issue client communication memos. Manage visitor check-ins and maintain visitor logs. Perform reception duties, including answering phone calls and assisting customers. Handle shipping and receiving tasks, including printing labels. Coordinate catering services as needed. Stock weekly snack and drinks orders. Receive computers and accessories and pass them to the IT department. Qualifications: High school diploma or equivalent; additional education or certification in office administration is a plus. Proven experience as a receptionist or in a similar role. Strong organizational and multitasking abilities. Excellent verbal and written communication skills. Ability to work independently and as part of a team. Attention to detail and problem-solving skills. Office environment with minimal foot traffic. Regular interaction with vendors, clients, and internal staff.
