Job Description

I. PURPOSE OF THE ROLE Reporting to the Director, Accounting and Financial Planning, the primary role of the Billing and Payroll Coordinator is to be responsible for assisting with payroll, creating and sending invoices, tracking receipts, reconciling accounts and resolving any discrepancies, following up on invoices, and responding to customer inquiries and resolving issues as needed. Please note that you must be legally entitled to work in Canada. II. KEY RESPONSIBILITIES AND ACCOUNTABILITIES · Collect and update billing data and the billing file · Prepare and send invoices to franchisees and other customers · Reconcile, analyze, and follow up on account discrepancies · Coordinate with other departments to ensure the accuracy of billing information · Correspond with franchisees to answer their questions, follow up on outstanding payments, and resolve any billing-related issues · Monitor payments and accounts to look for any discrepancies · Analyze billing procedures and identify opportunities for improvement · Assist with the completion of payroll · Participate in the monthly close process and ensure all timelines are met · Complete other account reconciliations · Assist in the year-end audit and the billing system conversion · Build key relationships and collaborate with colleagues at Choice Hotels International and InnVest · Complete special projects and other duties as required III. SKILLS, EDUCATIONAL BACKGROUND AND EXPERIENCE · Diploma or bachelor’s degree, preferably in accounting or related discipline · At least 2 years of working experience in accounting or finance department, ideally with prior payroll experience · Proficiency in Microsoft Office and knowledge of accounting software, such as Oracle, is an asset · Excellent time management and documentation skills · Attention to detail with strong analytical and organizational skills · Ability to multitask without compromising the accuracy of work · Strong numerical aptitude and excellent customer service skills · Ability to maintain a positive attitude and to pleasantly communicate with franchisees IV.
