Position Summary:

As the Front Desk Lobby Receptionist, you will serve as the first point of contact for our organization, playing a pivotal role in shaping the initial experience of our Parents, Students, Clients and Visitors. This multifaceted position manages the lobby of our high traffic building which includes a Nursery School, After School Program, Older Adult Center and a Theater. This position ensures that visitors to Greenwich House are greeted, assisted and directed to their destination efficiently and effectively. In addition, this position will perform a range of administrative and clerical tasks, including sorting mail, managing the company directory, tracking visitors, and maintaining building lobby protocols. In collaboration with the Director of Safety and Security, the Front Desk Lobby Receptionist is responsible for ensuring the lobby is safe, secure and welcoming to all who visit.

Primary Responsibilities:
  • Warmly greet and welcome guests upon their arrival, ensuring a positive first impression of our organization to our parents, students, visitors and clients.
  • Efficiently direct visitors to the appropriate person and office, enhancing visitor experience.
  • Answer, screen, and forward incoming phone calls with courtesy and professionalism.
  • Sort and distribute mail daily, maintain organized mail distribution.
  • Manage and keep the company directory up to date, ensuring information accuracy.
  • Track all visitors entering and leaving the building, adhering to security and safety protocols.
  • Maintain protocols of the building lobby, ensuring a secure and welcoming environment.
  • Execute clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
  • Keep the reception area tidy and presentable, contributing to an inviting office atmosphere.
  • Support in scheduling and managing front-desk activities, including meetings and appointments.
  • Offer basic and accurate information in-person and via phone/email to queries.
  • Be aware of all building events that occur and be informed of all services offered in the building.
Qualifications:
  • Proven experience as a Receptionist, Front Office Representative, or in a similar role.
  • Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and office machinery.
  • Exceptional communication and interpersonal abilities.
  • Strong organizational skills with the aptitude to multitask and prioritize.
  • High school diploma; further certification in Office Management is a plus.
