Position


As the Events & Sales Specialist at Eataly, your primary focus will be on managing private dining reservations, outlet event bookings, and catering services. You will work closely with the Events & Education Specialist to organize and execute successful storewide partner events. Your collaborative efforts will contribute to fostering interdepartmental cooperation and promoting a seamless event planning process.


Duties & Responsibilities:

  • Will be responsible for coordinating all aspects of events from conception to completion. This includes venue selection, catering arrangements, scheduling, and ensuring all necessary permits and licenses are obtained.
  • Oversee setup, teardown, and logistics during the event to ensure smooth execution.
  • Manages correspondence for the department (events/catering) on all B2B and B2B requests, cancellations, scheduling from beginning to end, which entails working closely with the operations teams.
  • Create event sales contracts, briefings, and customized offerings, pricing, and menus.
  • Collect and analyse event sales, cost, and trend data to inform future activities, and provide performance reports to the Director of Store Operations.
  • Organises and participates in storewide activities, promotions, and partner events, fostering accountability in departments and interdepartmental collaboration when planning events.
  • Collects, analyses, and co-approves all instore and online marketing assets for events.
  • Maintain fiscal responsibility for event-related expenses, including rentals, supplies, labour, and invoicing, while communicating this information promptly to the operations team.
  • Collaborates closely with the Front of House and Bar teams to ensure sufficient staffing for in-store events, and with the Back of House teams to create bespoke menus.
  • Generates events sales by scouting new business and maintaining relationships with existing clients.
  • Conduct walk-throughs with clients to finalize event details and address any concerns.
  • Liaises with all event vendors and suppliers, including florists, rental company, security to ensure all purchases are filed through accounts or operations.
  • Runs store tours for B2B clients and VIPS when needed.
  • Occasionally attends workshops, tradeshows, and conventions.
  • Work closely with the Events team, supporting the Events & Education Specialist as needed to maximize team efficiency.
  • Provide coverage for other roles within the Events team as required.


Requirements

  • A minimum of 2+ years of event planning experience within the hospitality or catering industry. Candidates without this experience will not be considered.
  • Availability to work on-site as we do not offer hybrid or remote work due to the focus of this role.
  • Proven success in managing events from initial client outreach to final invoicing and payment processing.
  • Exceptional organizational, project management, and time management skills.
  • A positive, guest-centric attitude and a commitment to providing outstanding client experiences.
  • Flexibility and adaptability to support multiple teams as needed.
  • Availability to work on-site with a flexible schedule, including evenings, weekends, and holidays.
  • Fluent spoken and written English, coupled with excellent professional communication and editorial skills.
  • Strong data analysis and reporting capabilities, with the ability to identify areas for improvement and track department performance.
  • Advanced knowledge of Microsoft Office applications.
  • Eligibility to work in the UK.
