Job Information:

The Office Supervisor of Clinical Support Services is responsible for providing assistance to the physicians, Practice Manager, and the patient focused on improving patient care coordination and better patient outcomes. With a primary focus on ensuring quality care from the clinical support staff, Clinical Office Supervisor will provide support to the Clinical Practice Manager to enhance the performance of the department and identify opportunities for departmental improvement and optimization.

In addition to supervisory responsibilities, the assistant manager works in close collaboration with the Physician and other health care personnel assuring smooth and efficient patient flow and clinical operations by performing chart preparation prior to the patient's visit, obtaining necessary information (lab/test results, etc) and ensuring appropriate documentation in the patient's record, identifying and closing care gaps, and communicating with the physician anything that will need to be addressed at the next visit. The Clinical Office Supervisor is expected to provide friendly and professional customer service to patients as well as hospitals and surgery centers.

ESSENTIAL FUNCTIONS
  • Assists and escorts patients to the examination room.
  • Reviews patient history and current medical problems as well as reason for visit.
  • Documents all information given by the patient to be available to the physician.
  • Follows direction of the physician and assist with any procedures as deemed by the physician.
  • Prepares exam room as required based on chief complaint.
  • Assists patients with questions or concerns regarding their treatment under the supervision of the physician.
  • Ensures authorization are obtained using available resources or centralized departments for any procedures ordered by the physician that require such.
  • Works independently while understanding the necessity for communicating and coordinating work efforts with other employees and management.
  • Informs management of any potential issues in reference to safety of patients and other employees.
  • Maintains strictest confidentiality, adhering to all HIPPA guidelines/regulations.
  • Maintains close contact with surgical patients and facilities to make sure the surgery is a good experience for patient.
  • Interacts professionally with other employees, patients and suppliers.
  • Maintain the cleanliness and organization of all exam rooms.
  • Returns all phone calls in a timely manner to patient.
  • Regular and punctual attendance is required.
MANAGEMENT RESPONSIBILITIES
  • Assists in the development of Key Performance Indicators and tracks staff performance
  • Communicates streamlined policies and procedures to the department in conjunction with the Manager of Clinical Support and other key leadership stakeholders
  • Conducts ongoing audits of charts to ensure staff are properly following workflows
  • Establishes with Manager partnership a Standard Operating Procedures Manual
  • Coordinates clinical support schedules for physician hours.
  • Ensures clinical policies and procedures comply with current state and federal regulations and OSHA requirements and regulations. Identifies and recommends policies and procedures as needed to ensure quality, compliance, accuracy and cost efficiency.
  • Ensures that all exam rooms are maintained with adequate stock.
  • Monitors and reorders medical supplies for site.
  • Orders and maintains injectable medications.
  • Educates team on EMR and other necessary platforms
  • Trains and mentor's new clinical staff.
  • Assesses clinical competencies in clinical staff. Recommends additional training and support in areas that need further development.
  • Recommends disciplinary action as needed in conjunction with the Clinical Practice Manager.
  • Identifies areas to improve processes & helps implement new policies and practices.
  • Creates an environment of best practices for patient care.
  • Teaches proper injectable protocol.
  • Collaborates with Front Desk Supervisors and Clinical Lead(s) to address other needs of the offices.
  • Identifies and recommends solutions to Front Desk Supervisors regarding office issues or problems.
  • Handles on site clinical patient complaints.
  • Organizes and assigns tasks to other clinical team members.
  • Monitors daily performance of clinical team members to ensure duties are completed accurately, efficiently and timely.
  • Assists clinical support staff and providers with maintaining patient flow to ensure patients are seen timely and efficiently.
  • Assists with interviews and assessment of candidates.
  • Assists with or conducts periodic staff meetings with clinical team members.
  • Attends periodic training sessions and meetings pertinent to position.

KNOWLEDGE AND SKILLS

  • Ability to take regular direction from physicians.
  • Demonstrates ability to manage multiple tasks and demands given tight time constraints while ensuring a high degree of accuracy and attention to detail.
  • Demonstrates knowledge of insurance policies and programs and requirements for them.
  • Demonstrate a strong commitment and dedication to attendance and self-improvement.

Required Experience:

3 - 5 yrs. (see Required Education) secretarial or administrative experience required. Supervisory experience preferred.

Required Education:

High School diploma required. Associate degree preferred.
