THE ROLE As the Executive Assistant to the Chief Financial Officer, you will provide exceptional senior administrative support to the Finance Division while handling multiple and simultaneous imposed deadlines. Effective communication and the ability to handle a high volume of work is essential to this position. Building networks and stakeholder relations within the Executive Assistant cadre is important for effective overall organizational communication. You will schedule appointments and meetings, manage agendas and documents, coordinate travel arrangements and prepare travel claims and expense reports for the team. You will manage correspondences and enquiries, including researching for reference documentation, monitoring, re-directing, and following-up on correspondence and enquiries, research, draft and edit correspondence, reports, plans, lists and briefing notes. This role requires the ability to efficiently manage priorities and tasks while coordinating the flow of information and utilizing innovative problem-solving skills to facilitate solutions and effective communication. Great customer service skills and an aptitude to learn and grow are important. In this fast-paced environment, everyone works as one team. If you adapt well to improving business processes, thrive in a customer-focused environment, have excellent organizational and communication skills, and have a positive attitude, this is the role for you QUALIFICATIONS NEEDED Education, Certifications and Licenses College diploma or certificate in Administration, Office Administration, Secretarial Science, or a related field AND some years of experience in office administration, or a related field Experience In office administration and project management In developing and implementing administrative and office procedures In applying policies and procedures In budget administration In records management In maintaining filing systems In drafting correspondence and reports In making travel arrangements Competencies, Skills and Abilities Client focus, organizational knowledge, communication, innovation, teamwork and leadership. As part of the selection process, the successful candidate must successfully complete a Reliability status security screening. This is a hybrid position with an assigned work location allowing the employee to work partly from a corporate office and partly from a home office in accordance with the CFMWS Flexible Work Options Policy, and with approval from the direct manager.
