About The Role

Our client is seeking an experienced Administrative Executive to support the Clubs Board Office, including the CEO and Directors. This exciting opportunity provides the successful candidate the chance to report directly into the CEO and take responsibility for the planning, administration, communication, reporting and follow-up requirements for the Clubs cross-Directorate working groups.

Who Were Looking For

The ideal candidate will have significant experience of working within a Senior Leadership team setting, serving as liaison between the Directors, ensuring that projects are organised and supported as requested. Due to the frequent sensitive nature of the Clubs board office work, this role will be governed by a strict confidentiality agreement.

Key duties of the role include;

  • Managing and providing exceptional services to the Directors and the Clubs working groups, including high quality administrative support and efficient and effective meeting management and coordination.
  • Provide administrative service to the Clubs cross-department workstreams, including minute and note taking and preparation, meeting agendas, and preparation of PowerPoint presentations.
  • Take ownership of follow-up actions from meetings, to ensure that a wide range of agreed actions are being executed and monitored.
  • Provide and lead the support to Directors and cross functional working groups with a high level of professionalism, good judgement and integrity, including utmost confidentiality and discretion with the information the post holder will be exposed to.
  • Closely work with colleagues where required to help ensure the Club delivers its commitments to accessibility, diversity and inclusion and its safeguarding obligations.
  • To manage costs and relevant budget expenditure, in alignment with the Clubs financial goals and processes.
  • To ensure where required that the Club meets or exceeds all statutory regulations and industry standards, including (but not limited to) health and safety, security, food safety, first aid, accessibility, safeguarding, diversity and inclusion, Premier League and local authority.
  • As required and by exception in limited circumstances, to provide assistance with Club events which may include working evenings and weekends.

Essential criteria for candidates;

  • Proven experience in a similar executive assistant and administration role.
  • Experience of working in a corporate governance, board office or similar executive support function in a publicly visible organisation with highly confidential matters.
  • Proficient and highly practiced in the coordination and administering of senior level organisational meetings, including accurate agenda compilation, presenting comprehensive and accurate minutes, and coordinating post-meeting action items to ensure completion within agreed deadlines.
  • Proven ability in organising an often large, complex, confidential and busy workload to high standards.
  • An in control demeanour, whilst being dynamic and adaptable regardless of challenges or change being faced.
  • Exceptional ability to work collaboratively across a range of departments to ensure key results and actions are delivered as appropriate.
  • A great relationship-builder, respected and admired by colleagues and stakeholders alike.
  • Able to work autonomously and with independent decision making, knowing when to escalate matters where appropriate and required.
  • Exceptional stakeholder management skills, with the confidence to challenge senior internal stakeholders if necessary (e.g. to ensure delivery in line with working group deadlines).
  • Experienced in responding effectively and flexibly to any necessary changes to timelines and/or scope of work.
  • Confident communicator, frequently sharing required information with credibility and professionalism at all times.
  • Substantial experience in preparing proposals, briefings, presentations, reports and other documentation.
  • Proven ability to design, maintain and implement methods and techniques for the configuration, storage and version control of information (electronic and hard copy) in required formats and in accordance with Clubs governance and policy obligations.
  • Considerable experience in managing highly confidential and sensitive information in a professional and trusted manner.
  • Demonstrates professional and personal integrity, ambition, success and performance.
  • To be highly proficient with MS Office applications and other software applications including but not limited to, Monday, Dropbox, Docusign for managing documents, record keeping etc.

Desirable criteria for candidates;

  • Experience of working in Professional Football or similar sporting/events industries.
  • Experience in providing office management services.
