Job Description

We have a new opportunity to be part of the Travel Operations team in the role of Travel Administrator on a 14 month Fixed Term Contract.


In this role you will be required to:

Support the administration of travel booking in accordance with the Company’s Travel & Expenses policy, ensuring adherence to travel request cut-off dates, and the supporting Travel Request procedure.

  • Deliver on customer experience; provide support and assistance on travel related queries, dealing with these promptly.
  • Administering expenses and per diems for the Race Teams, ensuring accuracy and timely processing in line with payroll cut-off dates.
  • Monitoring of Travel Vaccinations - ensuring travelling team members are up to date with vaccinations and maintaining accurate records.
  • Arrangement of Visa Applications and any other travel documents for Race and Test events as and when required.
  • Arrangement of passport renewals and applications as and when required.
  • Assist with Race Team and Company Travel administration within required timescales.
  • Communicate travel entry requirements for Race and Test events and any Ad Hoc Travel.
  • Management of International Driving permits - keeping a record of who holds these and renewal dates. Complete timely renewal applications to ensure driving continuity.
  • Processing new starters, obtaining their travel documents and personal information; recording on the central travel system.
  • Assist Finance dept. with data analysis, budget support, invoicing & coding.
  • Maintaining strong communications within the Travel team, and outside of the team, making sure stakeholders are communicated to in a timely and clear manner.
  • In conjunction with the Travel Manager & Travel Coordinator, actively contribute to the continuous improvement of travel processes and procedures, ensuring they remain relevant and effective.
  • To chair, attend and proactively participate in meetings as required.
  • To work proactively, responsibly and professionally at all times and to respect and comply with the company’s reporting structure.
  • To maintain and develop skill levels to industry standard and maintain current and thorough working knowledge of relevant regulations.
  • Any other duties as reasonably requested aligned to you job role.


Key skills:

  • Demonstrable administration experience.
  • Travel administration experience desirable, not essential.
  • Microsoft applications experience essential.
  • Excellent organizational and prioritisation skills.
  • Exceptional attention to detail.
  • Outstanding communication and interpersonal abilities at all levels, both internally and externally.
  • To be self-motivated and to motivate others to thrive in a challenging environment.
  • Ability to calmly and confidently work under pressure to achieve targets and deliver results within required timescales.
