Multi-Services Assistant


Job title: Multi-Skilled Operator

Salary: £26000 per annum

Location: Spires House, 5700 Oxford Business Park South, Oxford, OX4 2RW

Contract: Permanent, full time

Hours: 37.5 hours per week

Shifts: Monday through Friday between the hours of 8:30am – 5:30pm

Break details: 1-hour unpaid

Work Model: In person


Staffing mix: The Multi-Services Assistant will work alongside four other Multi-Services Assistants and report to the Team Leader.


Interview format:

1) 30-min Microsoft Teams video interview with the Multi Services Team Leader

2) 60-min in person interview with the Account Manager

Purpose of this role:


The primary focus of the Multi-Skilled Operator will be to support the Reprographics and the Office Services on a daily basis to ensure all tasks are completed within time frame specified.


You will add value by providing daily back-office services for our client and teams. Services include but are not limited to reprographics and mail services in both physical and digital environments, with support for services in hospitality, facilities, audio/visual, reception, and other Williams Lea service lines as needed. The ideal candidate will have experience in administration and document production, and be extremely computer savvy.


Key responsibilities:

  • Delivering an exceptional electronic and hard copy file management service
  • Return or add documents to existing client files
  • Work with the practice management system to log and record documents
  • Filing and file housekeeping
  • Understanding and processing of principle documents
  • Maintain all filing and work areas in a tidy and orderly manner
  • Collect file and documents from client areas and return files to shelves
  • Sort, scan, rename, distribute incoming mail to the dedicated centralised filing area
  • Maintain equipment to a good working order and troubleshoot problems, place service calls when needed
  • Follow all stock and consumable procedures. Replenish copiers with all consumables
  • Prioritise jobs and run them to meet customer requirements and deadlines
  • Provide photocopying, scanning, and printing as per customer instructions
  • Collect and complete any information required for billing or client charge back data
  • Ensure that job requests are tracked on system properly before beginning new request
  • Understand and comply with Floor support corporate standards. Constantly seek ways to improve operations and suggest and implement approved ideas
  • Binding final form documents
  • Extensive computer and data related tasks
  • Usage of internal and external portals/systems
  • Deal with any customer enquires in a prompt and efficient manner
  • Accept requests for Williams Lea work, notifying customers of estimated completion time as appropriate and in line with service level agreements


Key competencies:

  • Experience in administration and document production
  • Computer literacy
